01 / Challenge

The problem

Shuttle operations were being coordinated across spreadsheets, phone calls and a separate invoicing process. Route planning and driver allocation depended on individual knowledge rather than a system, bookings arrived through several channels, and billing was reconstructed after the fact from incomplete trip records. There was no single view of what was running on any given day.

02 / Strategy

How we approached it

We mapped the operational day from booking through to invoice and identified the points where information was being re-entered. The platform was designed around a single trip record that carries the booking, the allocation, the route and the billing outcome — so that data captured once flows through to reporting without further handling.

03 / Architecture

How it is built

A centralised operations database with role-separated interfaces for dispatch, administration and management. Route planning and driver allocation write to the same trip records that billing and reporting read from, which removes the reconciliation step entirely.
